Participation in the New Jersey Reptile Show constitutes full agreement with all rules, policies, and requirements outlined below.

All vendors are required to read and agree to these terms prior to purchasing vendor space. By purchasing a table space via our Stripe payment link, Vendor confirms that they understand and accept this agreement in full.

1. TABLE REGISTRATION, PAYMENT & VENDOR ACCESS

1.1 Two-Day Event Acknowledgement

All vendors must understand that this year’s event is a 2-day show.

By purchasing a vendor table space, Vendor acknowledges that they are registering for a two-day event format and agrees to comply with all event-day requirements across both show days as instructed by event management.

1.2 Table Fees

Vendor tables are $100 per table. (Provides a 6FT table to each

Payment must be completed in full to reserve space. Unpaid table reservations are not guaranteed and may be released.

1.3 Vendor Bracelets

Each table includes two vendor bracelets.

Vendor bracelets must be worn at all times during the event. Only properly credentialed vendors and helpers wearing event-issued bracelets will be permitted in vendor areas. Additional team members behind the table will require those individuals to purchase a general admission ticket here.

1.4 Table Specifications

Unless otherwise stated by show management, tables and booth space will be assigned based on venue layout and event needs. Vendors are responsible for keeping all merchandise, displays, and animals within their assigned space.

1.5 Refunds & Cancellations

All vendor table purchases are final and non-refundable due to the high demand and limited vendor space for this event.

Late cancellations and no-shows impact event planning and other vendors who were unable to secure a table. Any exceptions will be reviewed at the sole discretion of event management.

2. EVENT SCHEDULE, LOAD-IN & BREAKDOWN

2.1 Event Location

2.2 Vendor Load-In

Vendor load-in begins at 6:00 AM on Saturday, May 2nd. Front and side doors will be open for setup access.

2.3 Show Hours

Show hours are 9:00 AM to 4:00 PM. Doors open to the public at 9:00 AM.

2.4 Setup Requirements

All vendors must be fully set up, ready, and clear of aisles before doors open to the public. Event staff may provide additional setup instructions based on venue flow and safety needs.

2.5 Late Arrival

Reserved tables may be reassigned if a vendor fails to arrive within a reasonable time and does not communicate with event management in advance. No refund will be issued for unclaimed or abandoned space.

2.6 Early Breakdown

Vendors may not begin breakdown, packing, or vacating their space before the end of show hours on Sunday May 3rd at 4PM.

3. LEGAL COMPLIANCE, PERMITS & LICENSING

3.1 Vendor Responsibility

Vendors are solely responsible for complying with all applicable federal, state, and local laws, regulations, licensing requirements, and permit obligations related to animals, products, and business activity at the show.

3.2 New Jersey Pet Shop Permit Requirement

All vendors selling live animals must possess a valid "New Jersey Pet Shop Permit" where required.

It is the Vendor’s sole responsibility to obtain, maintain, and present all required permits, approvals, and documentation for the animals they bring, display, or sell.

3.3 Species Legality

It is the Vendor’s responsibility to know the legality of every species they bring for display or sale in the State of New Jersey. Show approval does not override New Jersey law or any applicable wildlife regulations.

3.4 Enforcement

Representatives of the NJ Reptile Show LLC and relevant authorities may inspect animals, permits, and vendor activity as required. Any vendor found out of compliance will be required to remove restricted animals, cease sales activity, or leave the event without refund.

4. ANIMAL HEALTH, WELFARE & DISPLAY REQUIREMENTS

4.1 Animal Condition

All animals brought to the event must be:

  • alive
  • visibly healthy
  • properly acclimated
  • free of obvious injury, illness, or distress

Any animal deemed unhealthy, unsuitable, unsafe, improperly housed, or otherwise unfit for display or sale by show staff must be removed immediately, without exception.

4.2 Housing Standards

Animals must not be overcrowded and must be kept in clean, secure, species-appropriate enclosures or containers at all times.

4.3 Public Safety Requirements

All animals must be displayed in closed, secure containers, cages, or tanks that children and attendees cannot reach into.

4.4 Secure Transfers

All animal sales must include secure containers or bags. No loose animals are permitted anywhere on the expo floor.

4.5 Handling Policy

No public handling of animals is permitted unless an attendee is seriously considering purchase and the interaction is directly supervised by the vendor.

New Jersey is a no-touch state for this type of event environment. Animals may only be handled by vendors, owners, or authorized staff when reasonably necessary, including for customer transfer, animal care, or enclosure maintenance.

5. PROHIBITED SPECIES & RESTRICTED ANIMALS

The following may not be displayed, offered for sale, or brought into the show:

  • Turtles and tortoises of any species
  • Venomous or devenomized reptiles
  • Rear-fanged venomous species
  • Crocodilians, including skins, mounts, or parts
  • Federally endangered or threatened species
  • New Jersey endangered or threatened species
  • Native endangered herps
  • Any species prohibited by federal, New Jersey, or local law

Specific restricted species include, but are not limited to:

  • Axolotls
  • Normal Corn Snakes
  • Tiger Salamanders

Event management reserves the right to prohibit any animal or item that appears to violate regulations, create safety concerns, or conflict with venue or event policies.

6. SALES PRACTICES & REQUIRED DOCUMENTATION

6.1 Honest Representation

Vendors must accurately and honestly represent all animals and merchandise, including species, genetics, sex, origin, condition, and any relevant husbandry information.

6.2 Professional Conduct in Sales

All pricing and business practices must be fair, transparent, and professional. Misrepresentation of animals, deceptive business conduct, or failure to disclose relevant information may result in removal from the event.

6.3 Buyer Documentation

Vendors must provide a New Jersey Temporary Permit for each applicable animal sale to the buyer.

The permit must include:

  • purchaser’s name
  • vendor’s name
  • vendor’s address
  • vendor’s phone number
6.4 Receipts

If a buyer requests a receipt, Vendor must provide one including business name and contact information.

6.5 Vendor-Customer Disputes

The New Jersey Reptile Show LLC acts solely as the event host and venue organizer. Vendors are independently responsible for their own animals, transactions, promises, paperwork, and customer service. Event organizers are not responsible for disputes between vendors and customers.

7. VENDOR CONDUCT & EVENT RULES

To maintain a safe, professional, and family-friendly event environment, vendors must:

  • treat guests, fellow vendors, venue staff, and event staff respectfully
  • keep booth areas clean, organized, and contained within assigned space
  • avoid blocking walkways, fire lanes, or emergency exits
  • follow all setup, operational, safety, and breakdown instructions from event staff
  • comply with venue rules at all times
  • immediately correct any issue identified by event staff
7.1 Vendor Removal Policy

Event organizers reserve the right to enforce all vendor rules and event policies at their sole discretion.

A vendor may be required to correct a violation immediately, remove a specific animal or item from display, or leave the event entirely.

Vendors may be removed from the event without refund for reasons including, but not limited to:

  • violation of this Vendor Agreement
  • sale or display of prohibited species
  • sale or display of unhealthy or improperly housed animals
  • unsafe handling of animals
  • unsafe interaction with attendees
  • failure to maintain required permits or documentation
  • aggressive, disruptive, or unprofessional behavior
  • refusal to follow instructions from event staff or venue management

Serious violations may result in immediate removal from the venue and possible denial of participation in future events.

8. LIABILITY & RESPONSIBILITY

By participating in this event, Vendor agrees:

  • to assume full and complete responsibility for all animals brought to, displayed at, or sold at the event
  • to assume full responsibility for their own conduct and the conduct of any employees, assistants, or representatives
  • to accept full responsibility for compliance with all laws, permits, licensing, and regulatory requirements
  • to accept all risk associated with transporting, displaying, housing, handling, and selling animals at the event

Vendor agrees to indemnify, defend, and hold harmless the New Jersey Reptile Show LLC, its organizers, staff, volunteers, contractors, and VFW Post 2179 from and against any and all claims, damages, injuries, losses, liabilities, penalties, costs, or expenses, including legal fees, arising out of or related to:

  • Vendor’s animals
  • Vendor’s products or sales
  • Vendor’s conduct
  • Vendor’s employees, assistants, or representatives
  • violation of any law, permit, or regulation
  • injury, escape, loss, property damage, or animal-related incident connected to Vendor participation

The New Jersey Reptile & Exotic Pet Show reserves the right to refuse entry to or remove any vendor not in compliance with this agreement, without refund.

9. PHOTO & MEDIA RELEASE

Vendor understands and agrees that photographs and video may be taken during the event.

By participating, Vendor grants the New Jersey Reptile Show LLC permission to use images or video that may include Vendor, Vendor staff, booth setup, animals, products, signage, or merchandise for promotional, editorial, advertising, social media, and marketing purposes without compensation.

Vendor waives any right to inspect or approve final media and releases the event and its organizers from claims related to the use of such images or recordings.

10. AGREEMENT & ACKNOWLEDGEMENT

By purchasing vendor space, attending as a vendor, setting up at the event, or participating in any way, Vendor confirms that they:

  • have read this Vendor Agreement in full
  • understand and agree to all event rules and requirements by the New Jersey Reptile Show LLC
  • understand this is a 2-day event and you will be responsible for vending on both May 2nd and May 3rd from 9AM-4PM
  • understand that legal compliance is solely their responsibility
  • understand that violation of these rules may result in removal without refund
